Transparent Pricing: How London Van Hire Rates, Deposits and Insurance Work

Let’s talk money. Because van hire pricing in London can feel deliberately confusing, and I reckon that’s half the reason people abandon bookings.

You see “£45/day” then end up paying £180. What happened? Insurance excess. Fuel policy. Saturday premium. Congestion Charge confusion. All the stuff buried in T&Cs that nobody reads until they’re holding the invoice.

Here’s how it actually works, no nonsense.

Daily Rates: What You’re Actually Paying For

Our base daily rates vary by van size and type (Monday-Friday collection):

Small/Medium vans: Most affordable option
Long wheelbase: Mid-range pricing
Luton (without tail lift): Premium tier
Luton (with tail lift): Premium plus
Refrigerated vans: Specialist pricing (highest)

That’s for the van itself. You’ll need to add insurance options, deposit, fuel, and any extras.

Weekend and Bank Holiday Rates

Friday evening pickup to Monday morning return counts as a weekend hire. Costs more because we lose two full weekdays of availability. Weekend rates are typically calculated at a premium to daily rates, but still cheaper than multiple separate day hires.

Bank holidays get charged at weekend rates. Worth knowing before you plan your spring house move.

Weekly Rates: When They Actually Save You Money

Seven consecutive days from collection time. Works out significantly cheaper than seven separate daily hires – typically around 25-30% savings versus daily rates.

The break-even is around four days. Hire for five or more days? Weekly rate’s a no-brainer.

We don’t do monthly rates because this is London – nobody needs a rental van for a month without just leasing one properly. If you think you do, we should talk about business accounts instead.

The Deposit Structure

Standard deposit varies by van size – larger vans require higher deposits as security.

This is a pre-authorisation on your debit or credit card. It’s not gone, it’s just ring-fenced. You can’t spend it, but we haven’t taken it either.

Returned van clean, undamaged, on time, with full fuel? Pre-auth releases within 3-5 working days. Sometimes sooner with debit cards, can take the full five days with credit cards. That’s your bank, not us.

When We Keep Some (Or All) Of It

Damage: Scraped the side panel? That’s coming out of the deposit. We’ll get a quote, deduct it, return the rest.

Dirty interior: Trade mess (paint, plaster dust, oil) requires professional valeting. General untidiness? We’ll waive it. But if it needs a professional clean before we can hire it out again, you’re paying for that service.

Late return: First hour’s free (traffic happens). After that there’s an hourly charge because we’ve likely got another customer waiting.

Empty fuel tank: We’ll fill it and charge you fuel plus an admin fee. Just fill it yourself – it’s cheaper and simpler.

Insurance Options Explained

This is where it gets messy because everyone calls things different names. Let me simplify.

Standard Cover (Included)

Standard excess applies

If something goes wrong – accident, damage, theft – you pay the first portion of the claim (your excess). We pay the rest. Third party injury and property damage is unlimited (that’s legally required).

Most drivers stick with this. It’s not bad coverage, you’re just carrying some financial risk if things go wrong.

Reduced Excess (Optional Add-On)

Lower excess threshold

You’re paying a daily premium to reduce your financial exposure. Makes sense if:

  • You’re inexperienced with larger vehicles
  • Driving in central London with tight streets
  • Hauling expensive cargo
  • Just want peace of mind

Whether it’s worth it depends on your confidence level. If you’re nervous about the driving, take it. If you’re comfortable, standard’s probably fine.

Zero Excess (Optional Premium Add-On)

No excess to pay

No financial risk except deliberate damage or driving under the influence (that’s never covered). Some companies call this “Super Cover” or “Premium Protection.”

Trade customers doing tight urban work often prefer this. Event companies, builders working on high-end residential jobs – they can’t afford the distraction of worrying about minor damage.

For a one-off house move? Probably overkill unless you’re really anxious about it.

What’s Never Covered

  • Overhead damage (hitting height barriers, low bridges, car park roofs)
  • Underbody damage (mounting kerbs, speed bumps too fast)
  • Interior damage (cargo shifting and smashing through the bulkhead)
  • Deliberate abuse
  • Driving while uninsured (wrong licence, expired, banned)

These exclusions are standard across the industry. I’ve seen people properly shocked that ramming a 2.8m Luton into a 2.1m car park barrier isn’t covered. The height warning’s on the dashboard for a reason.

Fuel Policy (The Bit Everyone Gets Wrong)

Full-to-full: We hand over with a full tank. You return it with a full tank. Simple.

Take a photo of the fuel gauge at pickup showing full. Same at return. Covers you if there’s any dispute.

Don’t try rolling back in on fumes thinking you’ll get away with it. We’re checking, and the refuelling charge is deliberately structured to encourage you to fill it yourself.

Fuel Cost Reality

Based on current diesel prices, expect fuel costs to vary significantly based on:

Van size and engine efficiency
Your driving style and route
Stop-start London traffic versus motorway miles

Smaller vans are more economical. Larger vans and Lutons consume more. Refrigerated vans add 20-30% to fuel consumption.

For typical London usage (150-200 miles), budget accordingly based on current fuel prices.

Extra Charges People Forget About

Additional Driver

Small daily charge per extra driver. Any additional drivers must be on the rental agreement at pickup. Adding them later costs more or isn’t allowed.

Both need to show licences at pickup. Yes, both. Had too many people show up with “oh my mate will come collect later.” Doesn’t work that way.

Young Driver (Under 25)

Insurance loading applies. Non-negotiable. If you’re under 25 and hiring a larger van, this adds up over multiple days.

Some companies won’t hire to under-25s at all. We do, but there’s a premium.

Sat Nav

Optional daily charge, or just use your phone. Google Maps knows London better than any built-in system. But if you want one, it’s available.

Moving Equipment

Available to hire:

  • Trolleys
  • Furniture straps
  • Moving blankets

Or bring your own – we’re not precious about it.

ULEZ, Congestion Charge and Parking

ULEZ: All our vans are compliant. You won’t get the daily ULEZ charge.

Congestion Charge: That’s on you if you enter the zone (weekdays during operating hours). Check current TfL rates and plan your route accordingly or factor it into your costs.

Parking fines: Also on you. The ticket comes to us, we identify you as the driver, it gets passed on with an admin fee added. Just pay for parking or load fast.

Understanding Total Costs

When budgeting for your van hire, remember to factor in:

The van hire itself – varies by size and duration
Insurance options – standard included, upgrades optional
Fuel – full-to-full policy, estimate based on your planned mileage
Congestion Charge – if entering central London on weekdays
Deposit – returned if van comes back as collected

Weekend House Move (Local)

Consider: weekend hire rate, fuel for local journeys, any insurance upgrades for peace of mind

Weekday Business Delivery (Central London)

Factor in: daily rate, potential Congestion Charge, fuel, consider zero excess if doing tight urban work

Week-Long Trade Job

Weekly rate gives best value, budget for higher fuel use, consider reduced excess for extended hire peace of mind

Price Comparison Warning

You’ll see ads for very cheap daily van hire. They exist. They’re also usually 10+ years old with 150k miles, high excess amounts, and hidden charges for everything.

We’re not saying don’t use them – just know what you’re getting. Sometimes cheapest isn’t best value, especially in London where being stranded with a broken-down van costs you more than the money you saved on hire.

Van hire in London isn’t expensive if you know what you’re paying for. It’s the hidden bits that sting – the insurance excess you didn’t reduce, the congestion charge you forgot about, the fuel you underestimated.

Budget realistically for a weekend house move including everything – van hire, fuel, any insurance upgrades, and potential charges. Less for a quick weekday pickup. More if you’re going for premium insurance and doing central London work.

Just make sure you’re comparing like-for-like when you’re shopping around. That extremely cheap daily rate with high excess isn’t the bargain it appears to be.
